Position Description

 

The Customer Service Representative serves as a primary point of contact for customers, ensuring timely and effective communication. Key responsibilities include managing incoming calls , providing essential sales information, tracking customer orders, preparing and processing parts and warranty quotes, and coordinating with supply chain teams to fulfill orders efficiently. Additionally, this role involves processing sales orders and proactively following up on job opportunities assigned by the Sales Manager. By delivering exceptional service and maintaining seamless operational support, the Customer Service Representative plays a vital role in enhancing customer satisfaction.

Key Responsibilities

 

  • Handle incoming calls and visitors
  • Provide essential sales information ensuring customers receive accurate and relevant information.
  • Proactively follow up with customers regarding estimated shipment dates for orders and parts, providing timely updates to maintain transparency.
  • Prepare and send quotes, and efficiently process orders in the system.
  • Work closely with the supply chain team to procure out-of-stock parts, ensuring seamless order fulfillment
  • Generate warranty quotes, process warranty orders, provide timely follow-ups, and share shipping details. Serve as a liaison between Technical Support and sales representatives to streamline resolution.
  • Convert approved quotes into sales orders upon confirmation from the Sales Manager, ensuring accuracy and efficient handling.
  • Maintain engagement with potential clients and job opportunities assigned by the Sales Manager, supporting sales initiatives and business growth.

Required Education & Qualifications

 

  • Associates Degree preferred. High School Dimploma required.
  • Strong working knowledge of Word and Excel
  • Superior attention to detail
  • Exemplary communication skills
