Position Description

An excellent opportunity has arisen for a Spares Administrator to work in the Spares Department, reporting to Aftermarket Spares Manager. The department provides an International Spare Parts Service, often for business critical sites, minimising expensive downtime costs & ensuring maximum customer satisfaction. The job role includes processing spares orders to meet critical daily deadlines within a very busy working environment.

Key Responsibilities

  • Processing spares orders
  • Supplying customer quotations (incorporating discount multipliers, currencies, UK & Export freight costs, with a specialised pricing matrix)
  • Dealing with a high volume of enquiries from UK & International customers providing part identification & verbal quotations for equipment potentially spanning up to 50+ years and 100’s of different product ranges!
  • Generating recommended spares lists using SAP. Submitting a detailed quotation using a staged discount.
  • Actively look for new opportunities to increase sales of spares by developing new and strengthening relationships with existing accounts.
  • Working closely with the internal and external unitary sales teams to ensure our products are packaged to suit their customer needs and promote future unitary sales.
  • Pro-actively following up on parts quotations and understand our position in the marketplace.
  • Monitoring and liaising with the Purchasing Department to ensure stocking levels maximise sales opportunities.
  • Creating pro-forma invoices, checking/approving credit notes and processing credit card transactions, and all general admin duties.

Required Education & Qualifications

  • Accuracy and attention-to-detail is imperative to this role. All information the customer provides need to be recorded within our CRM software.
  • Previous experience within a telephone sales environment.
  • Excellent telephone manner, with ability to build relationships, a great communicator.
  • Ability to multi-task, as it is a very busy and involved role working in a time critical environment.
  • Customer service experience within the air conditioning or engineering advantageous but not essential
  • Ability to work to tight deadlines as the majority of customers need parts on site urgently next day often for emergency repairs.
  • Ability to work through tasks in a disciplined and organised manner
  • Ability to operate on own initiative and prioritise workload accordingly
  • Competent PC Skills (SAP preferably)
  • A conscientious and enthusiastic team player with a confident manner
  • Hours are 08h30 – 17h00 Monday to Thursday, 08h30 – 16h00 Friday

Training will be provided for the right applicant to develop the skills & knowledge required for the position.
