Position Description

We are seeking a dependable, detail‑oriented Temporary Office Assistant to support our team during a maternity leave absence. This role will provide 12 weeks of coverage and is essential to maintaining smooth office operations, HR administrative support, and traffic/shipping coordination during that time.

Position Details

  • Status: Temporary
  • Duration: Approximately 12 weeks
  • Schedule: Part‑time (hours may be flexible based on business needs)
  • Purpose: Maternity leave coverage

Key Responsibilities

Office & Administrative Support

  • Provide day‑to‑day office support including filing, data entry, scheduling, and document management.
  • Answer and route phone calls, emails, and inquiries professionally.
  • Maintain organized records and support general office coordination.

 

HR Administrative Support

  • Assist with HR paperwork including onboarding documents, employee files, and data entry.
  • Help schedule interviews, orientations, and internal meetings.
  • Support job postings, timekeeping, training records, and other HR administrative tasks.
  • Handle sensitive employee information with discretion and professionalism.

 

Traffic / Shipping Support

  • Assist with basic traffic and shipping documentation such as bills of lading and shipment logs.
  • Help coordinate shipment information with internal teams and carriers.
  • Track shipments and maintain accurate records as needed.

Required Education & Qualifications

REQUIRED QUALIFICATIONS:

  • Strong organizational and time‑management skills.
  • Comfortable with basic computer systems, email, and office software.
  • Ability to manage multiple tasks and shifting priorities.
  • Professional communication skills and a positive, helpful attitude.
  • High level of discretion when working with confidential HR information.
  • Dependable and committed to seeing the assignment through the full 12‑week duration.
  • Willingness to learn and provide support wherever needed.

 

This temporary position plays an important role in keeping daily operations running smoothly while a valued team member is on leave. Your support will help ensure continuity in HR processes, office coordination, and shipping support—allowing the rest of the team to stay focused and productive.
