Position Description

Interacts with external and internal customers to facilitate successful order processing in a value-added manufacturing environment.
 

Key Responsibilities

The Customer Service Representative reports directly to the Customer Service Manager and is responsible for the following activities:

  • Answers incoming calls and routes to appropriate person.
  • Understands and applies 80/20 principles
  • Facilitates order processing on a daily basis as equipment is received into facility.
  • Processes invoices and submits to customers (via email, web portal, etc) on a daily basis. 
  • Interacts with sales, quality, production, and shipping/receiving teams as needed to assist with any problems that arise with an order; to include but not limited to, customer complaints and product non-conformances.
  • Routine communication with customers on order acknowledgements, PO’s, job status requests, incoming/outgoing shipments and scheduling as required.
  • Maintains and updates production related databases and spreadsheets.
  • Attends production meetings and reports critical issues & updates.
  • Provides cross-facility support within Coatings group as needed.
  • Responsible for other MISC administrative tasks; to include purchase requisitions, collection assistance, report generation, records management, new customer or vendor paperwork, vendor POs, etc. 
  • Responsible for ordering office supplies as needed.
  • Other duties as assigned.

Required Education & Qualifications

  • Associate degree and/or three years related experience and/or training in customer service office administration functions.  Some accounting experience preferred.
  • Bilingual English/Spanish a plus but not required
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence.  Ability to effectively present information in one-on-one and small group situations to employees or others such as vendors.
  • Ability to add, subtract, multiply, and divide in all units of measures, using whole numbers, common fractions, and decimals.  Ability to compute ratio, percent and to draw and interpret bar graphs.
  • To perform this job successfully, an individual should have knowledge of administrative systems, spreadsheet software, and word processing software including but not limited to Microsoft Office Suite applications.
  • Due to the variety of work, need to be a good Time Manager and be able to multi task.
