Position Description

Own the end-to-end spare parts process for one strategic customer, serving as the single point of contact for quotes, RFPs, order processing, and shipping coordination. Additionally, manage the processing of spare and warranty parts for indoor equipment that supports multiple customers. Collaborate closely with Purchasing to ensure appropriate stock levels are maintained and that all deliverables meet contractual obligations, customer standards, and service level expectations, all within a fast-paced, deadline driven environment.

Key Responsibilities

  • Prepare accurate spare parts quotes and RFP/RFQ responses for the assigned customer, including pricing, lead times, and alternates.
  • Create and process sales orders in SAP; monitor order status and provide proactive updates/ETAs.
  • Coordinate closely with Shipping/Logistics to meet the customer’s packaging, labeling and documentation requirements.
  • Forecast demand for the account using equipment sales information.
  • Partner with Purchasing to set min/max levels, safety stock, and reorder points dedicated to this account.
  • Create accurate invoices aligned to customer POs (pricing, freight, tax, and terms).
  • Maintain clean master data for the customer (parts, pricing, ship-to, compliance attributes); ensure contract compliance.

Required Education & Qualifications

  • High School Diploma 
  • Exceptional accuracy and attention to detail are essential. All customer-provided information must be accurately documented.
  • Excellent telephone manners with strong communication skills and the ability to build lasting relationships.
  • Proven ability to multitask effectively in a fast-paced, time-sensitive environment.
  • Comfortable working to tight deadlines.
  • Highly organized with a disciplined approach to task management. Self-motivated with the ability to prioritize workload and work independently.
