Position Description
The Facility Manager is responsible for the overall maintenance, operations, safety, and efficiency of the organization’s physical facilities. This role ensures that buildings, grounds, critical systems, and infrastructure support business operations effectively, in compliance with safety regulations, and within budget. The Facility Manager oversees both preventive and corrective maintenance, manages vendor relationships, and coordinates facilities-related projects.
Key Responsibilities
Facility Operations & Maintenance
- Oversee daily facility operations, including building systems (HVAC, electrical, plumbing, security, fire/life safety).
- Develop and execute preventive and predictive maintenance programs.
- Conduct regular inspections to ensure safety, compliance, and facility readiness.
- Monitor and manage building automation systems and energy usage.
Vendor & Contractor Management
- Manage contracts for janitorial, landscaping, security, repairs, and specialized technical services.
- Oversee vendor performance and ensure adherence to service-level agreements.
- Review and approve maintenance and project proposals.
Budgeting & Resource Management
- Develop and manage facility budgets, including operating expenses and capital projects.
- Track expenditures and implement cost‑saving initiatives.
- Manage inventory of tools, equipment, and facility supplies.
Space Planning & Workplace Support
- Oversee office layouts, space utilization, and workplace design needs.
- Coordinate employee moves, furniture installations, and facility-related support.
- Ensure a comfortable, clean, and functional work environment.
Project Management
- Lead facility upgrades, renovations, equipment replacements, and infrastructure projects.
- Develop project timelines, scope, and cost estimates.
Manage cross-functional communication and stakeholder updates.
Required Education & Qualifications
Education & Experience
- HS Diploma or equivalent required; Bachelor’s degree in Facilities Management, Engineering, Business Administration, or related field (preferred).
- 5+ years of experience in facility management, building operations, or related experience.
Skills & Competencies
- Strong knowledge of mechanical, electrical, and building systems.
- Excellent problem‑solving and decision‑making skills.
- Strong vendor management and negotiation abilities.
- Ability to manage budgets and analyze operational data.
- Strong communication and leadership capabilities.
Physical & Work Environment Requirements
- Ability to inspect facilities, including walking, standing, bending, and lifting up to 50 pounds.
- Availability for on‑call emergencies or after‑hours support.
- May require travel between sites depending on role scope.
