Position Description

The Material Control Clerk reports to the Shipping Supervisor.  The Material Control Clerk sees that all sales orders are shipped and invoiced. Monitors inventory levels on unit heaters and accessories. Communicates with Customer Service, outside Representatives, & customers. 
Distribute all sales orders to appropriate facilities.  Generate a bill of lading for Warehouse sales orders.  Send order to our shipping department for shipment to our customer.  After shipment, report orders in the computer to generate an invoice in Racine. Communicates with Customer Service, outside Representatives, & customers. Monitor inventory levels and adjusts at direction of Material Control Supervisor or Material Control Manager. 
 

Key Responsibilities

  • Monitor monthly released sales dollars. Calculate and generate report of daily units/dollars received compared to monthly forecast of units/dollars.
  • Communicate sales order discrepancies to Customer Service.
  • Monitor inventory levels on unit heaters & accessories. Communicate to Buena Vista over sold situations.
  • Maintain late shipment log.
  • Log receipt, and shipment of sales orders in electronic file.
  • Maintain master sales order files for Warehouse & Buena Vista.
  • Separate order confirmation from shipping order and packing slip. Distribute appropriate sales orders to Buena Vista. File order confirmation in open order file.
  • Generate bills of lading for Warehouse Shipments. Attach to appropriate shipping order & packing slip. Send orders to Shipping Department.
  • Complete Canadian export papers. Attach Canadian papers to Canadian orders. Calculate freight rates and warehouse charges to all Canadian orders.
  • If any special routings are requested, schedule pick-up and attach appropriate paper work.
  • Calculate freight charges on all plus freight orders.
  • Attach order confirmation behind the filled out shipping order.
  • Log in drop shipped orders in computer file.
  • Invoice all Warehouse shipments in HB001.
  • File numerically in closed sales order files.
  • Make inventory adjustments as needed and directed by Material Control department management.
  • Mail copies of Canadian documents to the purchaser.
  • Answer Customer Service Representative questions
  • Backup for Customer Service Representative. Communicating with outside Sales Representative & customers via telephone or e-mail. 
  • Familiarize with quality policy, quality system, standard practices and work instructions (if applicable).

Required Education & Qualifications

  • High School diploma or GED.  Bachelor’s Degree preferred.  
  • 3-5 year of experience 
  • Computer knowledge.  
  • Typing skills.
  • Excellent communication skills – verbal & written
